FreightBrain Privacy Policy
Effective October 8, 2026
FreightBrain is a tool for truck dispatchers. Its Chrome extension lets a dispatcher pick loads on the DAT One load board, and FreightBrain's AI agent then calls the brokers who posted them to get the load details, while the dispatcher follows each call live and can take it over. This policy explains what information FreightBrain handles, why, and who it's shared with.
FreightBrain is operated by YOUGO MOVING LLC ("we", "us"). For any privacy question or request, write to privacy@freight-brain.com.
- Calls are recorded only if the dispatcher turns recording on, and we don't keep call transcripts.
- We don't sell information, share it for advertising, or use it for anything but running FreightBrain.
- The extension works only on the DAT One load board, and only reads the loads a dispatcher chooses to call.
Information we handle
Dispatcher accounts
Dispatchers sign in with an email address, through our sign-in provider. In Settings they can add their name, their company's name and MC number, a callback phone number, an email signature, their RingCentral extension, the name the AI agent uses on calls, and whether their calls are recorded. We use this to sign them in and to place calls and send emails on their behalf.
Connected Gmail accounts
Dispatchers can connect their Gmail account so that bid emails go out from it. We ask Google only for permission to send email and for the account's email address. We can't read, search or delete anything in the mailbox. We store the account's address and an access token, encrypted, and use them only to send the emails described below. Dispatchers can disconnect at any time in Settings, which deletes the token and revokes our access; they can also remove it from their Google Account's security settings.
FreightBrain's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Loads from DAT
When a dispatcher ticks a load and launches FreightBrain, the extension reads that load's details from the DAT page: origin and destination, dates, equipment, weight, miles, posted rate, the broker's company name, phone number, email address and MC number, and the posting's comments. It also reads the origin of the dispatcher's DAT search, which we use as the truck's location. Loads the dispatcher doesn't select are not read or sent anywhere.
Calls
- No stored transcripts. While a call is live, what's said is converted to text so the AI agent can respond, and that text is shown on the dispatcher's screen. We don't store it once the call has ended.
- Recordings, only if the dispatcher turns them on. Recording is off unless the dispatcher chooses, in Settings, to record only the AI agent's side of the conversation or both sides. A recording covers the part of the call the AI agent is on: once the dispatcher takes a call over, the rest isn't recorded. We store recordings on our own servers, where only the dispatcher whose call it was can play them, and delete them after 30 days.
- What we keep is the call's record: which load and broker it was for, its status and times, how it ended, and a summary of the load details the broker gave (for example pickup and delivery times, commodity, weight and rate), plus any questions the dispatcher had the agent ask and the answers.
- Before calling, we check the broker's MC number against the public FMCSA registry.
Billing
Subscriptions and payments are handled by Stripe. Dispatchers enter their card details on Stripe's own pages; we never see or store card numbers. We keep the Stripe customer and subscription references and the subscription's status, so we know whether calls are enabled.
To bill phone and AI usage, we record what each call used: how long each phone leg was connected, how much AI processing it took, and what that cost. These usage records hold no call content: no audio, no transcript, and no load details.
Emails
FreightBrain can email the broker about the load, for example when a call starts or when the agent promised a follow-up. These emails are sent from the dispatcher's connected Gmail account and stay in its Sent folder like any other email they send. We record that an email was sent and to which address, not its contents.
Technical information
Our servers keep logs, and we use an error-reporting service to find and fix bugs. These can include a user's ID, the time, what failed, and the address of the page where an error happened (for the extension, a DAT page). We don't use them to track browsing.
People we call
If you're a freight broker who posted a load on DAT, a FreightBrain customer may have our AI agent call you about it, using the contact details in your posting. The agent tells you it's an AI assistant. We don't keep the call's transcript. The call is recorded only if the dispatcher has turned recording on, as described above; a recording of only the agent's side doesn't include your voice. Besides any recording, we keep only the load details you gave, for the dispatcher who asked. To ask what we hold about you, or to have it deleted, write to privacy@freight-brain.com.
How we use information
- To run FreightBrain: place calls, get load details, show dispatchers their calls live, and send the emails they ask for.
- To keep it working and secure: fixing errors, preventing abuse, and enforcing our limits.
We don't sell information, don't use it for advertising, and don't use it to decide anyone's creditworthiness or eligibility for anything.
Who we share it with
Only with the service providers that run parts of FreightBrain for us, only what each one needs, and under their contracts with us:
| Provider | What for | What they receive |
|---|---|---|
| Clerk | Sign-in | Dispatchers' email addresses and sign-in sessions |
| RingCentral | Phone calls | The numbers called and the call audio while it's live. RingCentral keeps its usual call log (numbers, times, durations). |
| Retell AI | The agent's voice and speech recognition, and recording when the dispatcher turned it on | Call audio and text while the call is live. We've configured it not to keep recordings or transcripts. For a recorded call, it holds the recording and transcript only until we've copied the recording to our servers, then we delete them there, usually within minutes. |
| An AI model provider | The agent's replies, and reading the load details out of the conversation | Call text while the call is live. Under its API terms it doesn't use this to train its models. |
| Stripe | Subscriptions, payments and invoices | The dispatcher's billing details (entered on Stripe's pages), and the cost of their phone and AI usage, to bill it |
| Google (Gmail) | Sending emails to brokers from the dispatcher's own Gmail | The emails and their recipients |
| Hosting, database and network providers | Running our servers and storing our data | The information described in this policy |
| Freight market data provider | Showing typical rates for a lane | The lane, equipment and date only, with no personal information |
| FMCSA | Checking a broker's registration | The broker's public MC number |
We may also disclose information when the law requires it, or to a buyer if the business is sold, under this policy's terms.
How long we keep it
- Call transcripts: never stored.
- Call recordings (when the dispatcher turned recording on): 30 days, then deleted.
- Call records and load details: 30 days, then deleted.
- Billing and usage records: as long as tax and accounting law requires us to keep them, up to 7 years. Stripe keeps its own records under its privacy policy.
- Dispatcher accounts and settings: while the account is active, and deleted within 30 days of the account being closed.
- Gmail connections: until the dispatcher disconnects, or their account is closed.
- Logs and error reports: up to 90 days.
- Database backups: 14 days, so deleted records are gone from them within 14 days more.
The Chrome extension
- It runs only on
one.dat.com, where it adds a "Call with FreightBrain" toggle to each load. It reads a load's details only when the dispatcher ticks it, and sends them to FreightBrain only when the dispatcher launches the calls. - It stores in the browser: the loads currently ticked, which loads were called this browser session (cleared when the browser closes), a copy of its DAT page settings, and the sign-in session.
- Its side panel shows the FreightBrain dashboard from our website.
- Information it collects is used only to provide FreightBrain's features described here, is not sold or transferred to others except as described above, and is not used for advertising or credit decisions.
Security
Information travels over encrypted connections, access to our systems is limited to the people who run FreightBrain, and sign-in is by invitation only.
Your choices and rights
You can ask us what information we hold about you, and ask us to correct or delete it, by writing to privacy@freight-brain.com. Depending on where you live, you may have further rights under local law; we'll honor them. Dispatchers can remove the extension at any time from Chrome, which deletes what it stored in the browser.
Changes
If this policy changes, we'll update it here and change the date at the top. Material changes will be announced to dispatchers in the app.
